This Privacy Policy explains how MaxPoints LLC, doing business as MaxPoints (“MaxPoints,” “we,” “us,” or “our”), collects, uses, shares, and protects information when you use MaxMeeting, including this website, the live coach and demo, member accounts, saved conversations, plans, the “About you” profile, the ChatGPT connection, and paid plans (the “Services”). It should be read with our Terms of Service and AI Disclaimer.
Information we collect
- Conversation audio. When you start the live coach and your browser grants microphone access, short pieces of audio are sent to our servers and our AI provider to be turned into text. We do not keep the audio after it has been transcribed.
- Transcripts and advice. The text of your conversation, the goal you enter, and the suggestions and recaps the coach produces. Before you sign in, an unsaved draft is kept only in your own browser.
- Account information. Your email address and the identifier MaxAuth gives us when you sign in.
- What you save. Saved conversations, plans for upcoming conversations, and the details you add about yourself on the About you page.
- ChatGPT briefing. If you paste a briefing or connect ChatGPT in Settings, the briefing text and where it came from, plus the connection records needed to let ChatGPT update it.
- Payment information. If you buy a plan, Stripe collects your card details. We receive your plan, payment status, and Stripe customer and subscription identifiers, not your full card number.
- Usage and device information. Pages visited, visit length, referring site, approximate location from your IP address, browser and device type, and error reports that help us fix problems.
How we use information
- to transcribe your conversations and suggest what you could say next;
- to save your conversations, plans, profile, and briefing and use them to personalize your coaching;
- to sign you in, keep your account secure, and prevent abuse, including rate limiting;
- to process payments and manage your plan;
- to send messages you request, such as sign-in codes;
- to understand how the Services are used and fix errors; and
- to comply with law and enforce our Terms.
We do not sell your personal information, and we do not use your conversations for advertising.
How we share information
We share information only as needed to run the Services, with:
- OpenAI, which turns audio into text and generates suggestions, plans, and recaps. It receives your audio, transcript, goal, and the profile and briefing details used to personalize advice.
- MaxAuth, our sign-in provider, which handles your email address and sign-in codes.
- Stripe, which processes payments under its own privacy policy.
- ChatGPT, only if you connect it. ChatGPT can then read or replace your briefing and nothing else in your account.
- Hosting, database, analytics, email, and error-reporting providers that store and process data for us under confidentiality obligations.
- Others when required: to comply with law or legal process, to protect the rights and safety of people and the Services, or as part of a merger, sale, or reorganization of our business.
Cookies and browser storage
We use cookies that are needed to keep you signed in and to complete sign-in and checkout securely, and first-party analytics to count visits and sessions. We do not use Google Analytics or advertising cookies. The coach may keep an unsaved conversation draft in your browser's local storage; signing out clears it.
Recording other people
The coach can capture what other people in your conversation say. You are responsible for telling them and getting any consent the law requires before you use it. If someone believes they were recorded through MaxMeeting without consent, they can contact us using the details below.
Retention and deletion
We keep saved conversations, plans, your profile, and your briefing until you delete them or ask us to close your account. You can delete conversations and plans and edit or clear your profile and briefing in the app, and remove the ChatGPT connection in Settings at any time. Payment records are kept as long as needed for accounting, tax, and legal purposes. Logs and error reports are kept for a limited time.
Security
We use encrypted connections, sign-in checks on every member request, and access limits so that only you can see your saved data. No system is perfectly secure, so please keep your email account safe and avoid saving passwords or other highly sensitive information in MaxMeeting.
Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to object to or limit certain uses. You can use the app's controls or email us to make a request. We will verify your request and respond within the time the law requires, and we will not treat you differently for exercising these rights.
Children
MaxMeeting is meant for adults 18 and older. We do not knowingly collect information from children under 13. If you believe a child has given us information, contact us and we will delete it.
International users
MaxMeeting is run from the United States, and our providers may process information in the United States and other countries whose privacy laws may differ from those where you live.
Changes to this policy
We may update this policy as the Services or the law change. We will update the date above and give notice of material changes before they take effect.
